Come one, come all! BYA Elections Nominations will be Friday, Nov 2 at 6:30pm and Voting will be Friday, Nov 9 at 6:30pm at the Clubhouse for the following offices: President Vice President Treasurer Recording Secretary Corresponding Secretary Financial Secretary Player Agent & Parliamentarian all candidates must submit typewritten qualifications and credentials with references to Muhammad Small before Nov 7 in-person or via e-mail Every Board of Director has an specific function. Each director is a fiduciary (trustee) of the BYA, and must act for the good of the organization, and not any individual. All members are charged with the conduct and management of BYA. The BOD governs the organization, and its members are required to establish policy, plan long and short term goals, develop objectives, prepare budgets, approve expenditures, solicit contributions, formulate timetables, organize procedures, appoint commissioners and support staff, etc. These responsibilities are year-round and not only when one's child's sport is in-season. Dear BYA, Due to some administrative factors the nominations will be Fri Nov 2 @ 6:30pm and the elections will be Fri Nov 9 @ 6:30pm. Candidates should be aware of the duties of each office: a) President The president shall be the chief executive officer and one's assignment shall include but not be limited to: preside and address the organization at all meetings; represent BYA at all public meetings; be an ex-officio member on all committees although attendance at all committee meetings is not mandatory; co-sign all checks along with the Treasurer; exercise general supervision of the affairs and activities of the organization; and any other duties, tasks, and responsibilities germane to being the president as well as a Board member of the organization. b) Vice President The vice president shall be the chief operating officer and one's assignment shall include but not be limited to: counsel and assist the president in the performance of his/her duties, tasks, and responsibilities; be an ex-officio member on all committees although attendance at all committee meetings is not mandatory; act as parliamentarian in the absence of one; assume and perform the role of president in the absence and/or inability of him/her; and any other duties, tasks, and responsibilities germane to being the vice president as well as a Board member of the organization. c) Treasurer The treasurer shall be the primary/chief fiduciary officer and be the custodian of all funds, and one's assignment shall include but not be limited to: prepare a full and accurate account of books, ledgers, and reports of all financial transactions; present written and oral reports at every Board and general meeting; co-sign all checks with the President; provide on-line banking; file all forms as required by the IRS and state agencies; have an audit done for the December general meeting; disperse all funds by check only; oversee the concession sales; and any other duties, tasks, and responsibilities germane to being the treasurer as well as a Board member of the organization. d) Financial Secretary The financial secretary shall be the secondary fiduciary officer and one's assignment shall include but not be limited to: prepare a full and accurate account of books, ledgers, and reports of all financial transactions separate than that of the treasurer; assume and perform the role of treasurer in the absence and/or inability of him/her; and any other duties, tasks, and responsibilities germane to being the financial secretary as well as a Board member of the organization. e) Recording Secretary The recording secretary shall be the chief records officer and the custodian of all files (agendas, minutes, reports, membership lists, etc), and one's assignment shall include but not be limited to: take written attendance at all meetings; prepare agendas and record minutes at every meeting; read the minutes of the prior meeting at the current meeting for ratification; distribute the minutes upon ratification, or after the corrected changes to the minutes, to the membership present at the general meeting; prepare a data bank of all active members (parents of children enrolled in a sport from its last season); and any other duties, tasks, and responsibilities germane to being the recording secretary as well as a Board member of the organization. f) Corresponding Secretary The corresponding secretary shall be the chief information officer and one's assignment shall include but not be limited to: coordinate public relations; establish a mailing list; supervise the website and newsletter; notify parties of upcoming meetings and events; assume and perform the role of recording secretary in the absence and/or inability of him/her; and any other duties, tasks, and responsibilities germane to being the corresponding secretary as well as a Board member of the organization. g) Player Agent The player agent shall maintain registration copies; shall establish waiting lists and placement of players; shall oversee along with the commissioner the draft and tryouts; shall collect tolerance forms; shall be an ex-officio member on only the competition committees in the role of secretary for each competition committee with the understanding that one's Board status does not supercede that of the commissioner's chair within the committee; and any other duties, tasks, and responsibilities germane to being the player agent as well as a Board member of the organization. h) Parliamentarian The parliamentarian shall be the chief administrative officer and the custodian of parliamentary rules of procedure, and one's assignment shall include but not be limited to: maintain order and decorum at all meetings and events; review the agenda before the meeting; effectively manage the time of all meetings; recognize all members who wish to speak; allows only the member who has the floor to speak; ensures the organization's rules are adhered; and any other duties, tasks, and responsibilities germane to being the parliamentarian as well as a Board member of the organization.
